Background

Created in 1994, Prospect C&S is an independent consultancy specialized in environment, climate action, rural development, and food security.

Over the years, Prospect C&S team has gained extensive experience in implementing specific studies or managing contracts for various national and international clients. Prospect C&S has a strong track record in monitoring EC LIFE-funded projects in the BENELUX and in South East Europe covering all strands of this EU Programme: Climate Action, Nature and Biodiversity, Circular Economy & Quality of Life (CEQL/Environment).

Prospect C&S also hosts in its offices the Coordination Team of the LIFE External Monitoring Team.

Prospect C&S is looking for a full time Administrative Assistant to provide administrative and logistical support to the Coordination Team staff (estimated starting month: January 2024).

Position Assistant to the LIFE Monitoring Coordination Team
Activities

Key responsibilities and main duties

The Administrative Assistant :

  • Assists the ELMEN Coordination team in managing day-to-day operations;
  • Organises meetings and takes minutes;
  • Organises from A to Z and facilitates events;
  • Supports training on EU policy developments related to the LIFE programme (Admin for e-learning: online distribution of modules, participant administration, follow-up, user support);
  • Liaises with various IT support (E.T. IT Platform, Butler, EUSurvey, eProposal, eGrant, Funding & Tender Portal);
  • Assists in ensuring sound data management;
  • Distributes, collects and compiles administrative and operational documents for: Client(s), Contract Managers, Regional teams, etc.;
  • Helps in the preparation of various types of documents (compilation of data, reports, feedback surveys, etc.);
  • Deals with phone and email inquiries;
  • Welcomes and assists visitors.
  • Assists with daily office management.
Qualification

Requirements and skills:

  • Level of education which corresponds to a Bachelor’s degree.
  • Excellent command of English (written and spoken).
  • Good communication/presentation skills in English.
  • Ability to communicate effectively with team members, clients, and other stakeholders.
  • Willingness to share knowledge and support team members.
  • Ability to adapt to changes and thrive in a dynamic work environment.
  • Willingness to take on new challenges and learn new skills.
  • Good analytical and problem-solving skills.
  • Ability to think critically and find creative solutions to challenges.
  • Ability to prioritize tasks and meet deadlines. Flexible with multitasking.
  • Knowledge of other EU languages would be seen as an advantage.
  • Excellent knowledge of Micrososft 365 environment including MS Teams, Sharepoint, Excel, Word and PPT.
  • Team player with a sense of responsibility and initiative.
